Privacy Policy
Effective date: October 16, 2026
Clarity Bookkeeping ("we," "us," or "our") takes the privacy of every website visitor and client seriously. Bookkeeping work depends on trust, and this policy explains what information we collect, why we collect it, how we protect it, and the choices you have. It applies to this website and to the bookkeeping services we provide.
Information we collect
Information you give us. When you send a message through our contact form or email us, we receive your name, email address, phone number if you share it, and anything you choose to share about your business.
Client financial records. If you become a client, we access the records needed to do the work: bank and credit card statements, accounting software data, invoices, receipts, payroll summaries, and similar documents. We only collect what the engagement requires.
Website usage data. Our hosting provider records basic technical information such as IP address, browser type, pages viewed, and the date and time of each visit. This is standard server logging and is not used to identify you personally.
How we use information
- To respond to inquiries and schedule consultations.
- To deliver bookkeeping, reconciliation, and reporting services you have engaged us for.
- To communicate about your account, deadlines, and deliverables.
- To meet legal, tax, and professional record-keeping obligations.
- To keep this website secure and functioning properly.
We do not sell, rent, or trade personal information, and we do not use client data for advertising.
Sharing information
We share information only when needed to serve you or when the law requires it:
- Software and service providers that support our work, such as accounting platforms, secure document storage, email, and website hosting. Each provider is bound by its own privacy and security commitments.
- Your other professionals, such as your accountant or tax preparer, when you ask us to coordinate with them.
- Legal requirements, including responding to a lawful request from a government or regulatory authority.
How we protect information
We use reasonable administrative, technical, and physical safeguards to protect the information in our care. These include password protected and encrypted systems, secure file transfer rather than unencrypted email attachments for sensitive documents, limited access on a need-to-know basis, and regular review of the tools we rely on. No method of storage or transmission is completely secure, but we work to reduce risk at every step.
How long we keep information
Client financial records are kept for as long as needed to provide services and to satisfy legal and tax retention periods, after which they are securely deleted or returned. Inquiries from people who do not become clients are retained only as long as reasonably necessary to respond and follow up.
Cookies
This website does not set tracking or advertising cookies.
Your choices and rights
You may ask us at any time to see the personal information we hold about you, to correct it, or to delete it where we are not required to keep it. You may also withdraw consent to communications from us. To make a request, use the contact details below and we will respond promptly.
Children's privacy
This website and our services are intended for business owners. We do not knowingly collect personal information from children under 13.
Changes to this policy
We may update this policy from time to time. The effective date at the top of the page will always reflect the latest version, and continued use of the site after a change means you accept the updated policy.
